Refunds & Cancellation
Refund, deposit, cancellation, and rescheduling terms for App Solutionbox travel expense audit engagements in Hong Kong.

These terms apply to professional travel expense audit and related review engagements booked with App Solutionbox. They do not cover products, software subscriptions, or physical goods — we do not sell those.
Deposit
A 40% deposit confirms your engagement start date. The deposit is credited toward the final fee stated in the engagement letter.
Full refund eligibility
You may receive a full refund of amounts paid if we cancel the engagement for reasons within our control (for example, conflict of interest discovered after signing) and no substantive fieldwork has begun.
Partial refund & work already started
If you cancel after kickoff and after we have begun sample design or evidence review:
- Before fieldwork on claim samples: deposit minus HK$3,000 administration, or 50% of deposit, whichever is greater, may be retained; unused balance refunded.
- After fieldwork has started: fees for time incurred at the rates in the engagement letter are due; any unused deposit balance above that amount may be refunded.
- After delivery of a draft findings pack: the engagement fee is generally earned; no refund of the fee for work delivered.
Non-refundable items
- Third-party courier or certified translation costs already incurred at your request
- Scheduled on-site meeting slots cancelled with less than two business days’ notice (a half-day fee may apply)
- Extra follow-up half-days already delivered beyond the included revision
Timeframe to request a refund
Send written cancellation or refund requests within 14 days of the event giving rise to the request (cancellation date or our notice of inability to perform).
Refund process & method
Email info@app-solutionbox.digital with your engagement reference, reason, and payment details used. Approved refunds are returned to the original payment method within 14 business days of approval. Bank charges levied by your bank are outside our control.
Cancellation by you
Write to us as early as possible. Rescheduling the start date once, with at least five business days’ notice, is usually allowed without penalty subject to our calendar.
Rescheduling
Further date changes may incur a HK$2,000 rescheduling fee if staff had already been reserved.
No-shows
If client sponsors miss an agreed kickoff or closing meeting without 24 hours’ notice, we may charge a half-day fee and rebook when capacity allows.
Exceptions
Where the engagement letter states different deposit or cancellation terms for a specific project, the letter prevails for that project.
