When hotel folios disagree with the booking confirmation
Lodging claims fail quietly. The booking confirmation shows three nights; the folio shows four because the traveller arrived a day early. Or the company card was charged for a no-show while the traveller also claimed a different hotel for the same dates.
Documents we ask for
- Booking confirmation with cancellation terms
- Final folio with nightly rates and taxes
- Card statement line matching the folio total
Duplicate night example
In one Tokyo sample, two claims for the same traveller covered overlapping Friday nights — one from a chain loyalty booking, one from a corporate agency voucher that was never cancelled. The folio timestamps made the overlap obvious; the claims export alone did not.
What controllers can do early
Require folios before AP pays lodging above a set threshold. Confirmations alone are not settlement evidence for most policies we review.
